In many Dubai and Abu Dhabi agencies, agents bring their own landlords and sellers. Those relationships are their income. Ask them to type owner numbers into a system the whole office can read and they will quietly keep their best listings in their phone instead. The agency then loses twice: colleagues cannot find the right unit for their buyers, and the owner relationship leaves when the agent does.
The principle: share the property, not the owner
Separate what a colleague needs to sell a property — project, type, bedrooms, size, price, availability, photos — from what only the listing agent needs: the owner’s name, phone and email. Everyone in the agency can search the first. Only the listing agent sees the second.
The owner contact should never reach a colleague’s screen at all — not in search results, not in exports, not on brochures — unless the listing agent agrees.
How a colleague asks for the owner
- An agent finds a suitable listing for their buyer and presses Request owner contact, optionally adding a short note about the buyer (without the buyer’s phone number).
- The CRM prepares a WhatsApp message to the listing agent; the requesting agent sends it and marks it as sent.
- The listing agent answers in the CRM: share the contact for a limited time, coordinate the introduction themselves, or decline.
- Every step — request, decision and each time a shared contact is viewed — is recorded.
That last point matters. If an owner later complains that they were called by the wrong agent, the agency can see exactly who had access and when.
Company listings and administrators
Not every listing belongs to an individual agent. Developer allocations and company mandates are company inventory, assigned to a responsible agent. For those, administrators should be able to see the owner contact directly, with each view recorded. For agents’ own listings, give administrators a clear policy: full access, emergency access with a written reason, or no access at all.
When an agent leaves
A leaver’s listings should be transferred to another agent or to the company — with the owner contact moving with the listing — rather than disappearing. Record the transfer, and remove the leaver’s access the same day.
Importing listings with owner columns
If your spreadsheet has “Owner name” and “Owner mobile” columns, import them as private owner contacts, not as ordinary columns. See the Excel import guide.
Brochures and shared links
Sales sheets and shared property pages should show the agent’s own name, phone and BRN — never the owner’s details. Read how to make a sales sheet buyers trust.
How DocMak CRM does it
DocMak CRM keeps owner contacts private to the listing agent by default, with WhatsApp contact requests, time-limited sharing and a full audit trail. It is free for up to 10 agents. More on choosing a CRM in Dubai and running an Abu Dhabi brokerage.
Frequently asked questions
Can other agents see my owners’ phone numbers?
Not in a CRM set up this way. Colleagues see the property; the owner contact is visible only to the listing agent unless they choose to share it.
What happens to owner contacts when an agent leaves?
The agent’s listings are transferred to another agent or to the company, and the owner contact moves with the listing.
