Buyers in the UAE receive a lot of property messages. The ones that get a reply are short, accurate and look like they come from a real agency: clear price, the key facts, a few good photos, and an agent they can reach on WhatsApp.
What to include
- Headline: what it is and where — “2-bedroom apartment in Dubai Creek Harbour”.
- Price line: asking price for sales, annual rent for rentals; payment plan and completion date for off-plan.
- Key facts: property type, bedrooms, size (sq ft and sq m), location, availability, and for rentals the number of cheques and chiller terms.
- A short introduction in your own words: who the home suits, what stands out.
- Photos: a few verified photos, or a line saying photos are available on request — never an empty frame.
- Licence details: the agency’s ORN, the agent’s BRN and the advertising permit (why).
- Contact: the agent’s name, mobile with a WhatsApp button, and email.
What to leave out
- The owner’s details. Ever. See protecting owner contacts.
- Numbers typed by hand. Prices, percentages, returns and discounts should come from the listing record, not from a free-text note where a typo becomes a promise.
- Unit numbers, unless you mean to share them.
- Sold, rented or off-market properties. Retire them the day the status changes.
PDF, Word or a link?
| Format | Best for |
|---|---|
| Sending a print-ready brochure on WhatsApp or email | |
| Word (.docx) | When you need to edit layout or wording before sending |
| Share link | A mobile page you can withdraw later; it shows a preview card in WhatsApp |
Whichever you use, the original sheet should be kept exactly as generated, so you can always show what a buyer was sent.
Sending it
Start the message with a greeting and one clear sentence — “Hi Omar, here are the details for a 2-bedroom apartment at Creek Vista, Dubai Creek Harbour, AED 2,100,000.” — followed by the link. Record how you shared it on the lead’s history, and set a follow-up date (follow-up routine). A link being opened does not prove the buyer read it, so ask.
Sales sheets in DocMak CRM
DocMak CRM builds the sheet from the listing record, prints the ORN, BRN and permit automatically, and lets agents download a PDF or Word file or share a link on WhatsApp. The Free plan includes 20 sales sheet downloads per month; Pro adds your logo and brand colours — see pricing. Off-plan teams should also read tracking off-plan sales.
